Certified Letter (Burofax) template in Spain: what to include
A certified letter (burofax) only works if the text is specific: who, what, when, how much and what happens next. Vague demands are weaker than a blank page.
Quick answer
- A certified letter (burofax) proves: content sent, date, sender, recipient, delivery attempt or receipt or refusal.
- Send via Correos with certified copy of content plus delivery acknowledgement.
- Delivery time: usually 1-3 working days within Spain.
- No reply: certified letter (burofax) plus silence is sufficient basis for consumer arbitration or court.

NAVI will draft the correct text for your situation: recipient, facts, demand, deadline.
Prepare the certified letter (burofax)Structure of a certified letter (burofax): what the text must include
- Recipient: full name or company name, registered address (not just email).
- Facts: what happened, when, for what amount. Dates and figures only, no opinions.
- Demand: specific. Return X euros, fix the defect, fulfil the contract.
- Response deadline: 10-15 working days. Reasonable and legally sound.
- Warning of next step: consumer office or court or arbitration. Factual, not threatening.
What to do first
- For a company, use the registered address from the Mercantile Registry, not the shop address.
- Write the full text before going to Correos. You cannot correct it after filing.
- Choose the option with certified copy of content plus delivery acknowledgement.
- Keep the dispatch receipt. Primary evidence regardless of delivery outcome.
Documents and evidence
- Recipient details and correct address.
- Contract, invoice, order, lease or prior messages.
- Amount claimed, deadline and proof already sent.
Deadlines and risk
- A threat without legal basis: a judge may read it as pressure, not a legitimate demand.
- Wrong or outdated address: failed delivery is weaker but still proves the attempt.
- No certified copy of content: you cannot prove what was written, only that something was sent.
- Response deadline of 3 days: too short. Creates a risk the recipient contests reasonableness.
- Chat or email is not a certified letter (burofax). Only a Correos dispatch with certification has evidential weight.
